About the Role: Assistant Registrar
Deer Park Monastery is seeking a dedicated Assistant Registrar to support the operational needs of the monastery. We are initially hiring for a 6-month evaluation period with the possibility of extension if the role proves to be mutually beneficial.
The ideal candidate is an experienced administrator with strong organizational skills and a commitment to customer service. With a mindfulness practice, preferably in the Plum Village Tradition, the ideal candidate will work collaboratively in a monastic environment, ensuring that guest support and administrative work contribute to harmony within the monastery. They will be able to skillfully communicate with lay retreatants and volunteers about monastery policy. They will be able to adjust to and announce changes to upcoming retreats or accommodation arrangements.
Since the monastery is a place of healing, we sometimes receive messages from people in emotional distress or even crisis. The ideal candidate will have a healthy sense of boundaries and be able to communicate with these friends the limited capacity of the monastery to help people with severe mental health challenges.
The Assistant Registrar reports to the Registrar at Deer Park, in service to the Monks, Nuns, and laypeople who live at and visit Deer Park.
What You'll be Doing
- Answer monastery phone lines. People call the monastery with many different questions and requests. Office work includes answering questions and routing inquiries to the appropriate channels.
- Register monastery guests (including assigning guests to rooms) and check them in on retreat arrival days. Work closely with the guest teams and monastics to accommodate guests.
- Help with posting events and updates on the monastery website and Eventbrite.
- Answer and route e-mail sent to the monastery.
- Mail responsibilities: Pick up, sort, and deliver incoming mail. Take mail to the post office and delivery services (such as UPS and FedEx) when necessary.
- Work with staff and volunteers to manage guest registrations for on and off-site retreats and activities organized by the monastery.
- Know how to prepare e-mail lists to send out retreat/event notifications.
- Manage payments, refunds, discounts, scholarships, and fellowships. Keep up-to-date records about transactions.
- Guest User Day Report: Prepare a monthly report reflecting the total number of retreatants for each month.
- Deferred Payment Plan: Maintain database and coordinate monthly billing and receipt of deferred retreat payments.
- Guest services: Support with guest arrival and departure, maintaining guest lists, answering questions, managing issues that arise, escalating to monastic teams as needed.
- Create check-in lists for the guest masters, the meditation hall team, and the retreat organizing team, in the days leading up to retreat arrival days.
Skills and Qualifications
- An established meditation/mindfulness practice, preferably in the Plum Village Tradition
- Ability to work harmoniously within a monastic community and in alignment with the Five Mindfulness Trainings of the Plum Village Tradition
- Strong administrative skills, including familiarity with software such as Excel and Word
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills with the ability and flexibility to collaborate with diverse teams
Location Requirements
Please note: This is an on-site position based at Deer Park Monastery in Escondido, California. Working remotely is not an option for this role.
Work schedule is 20 hours per week including Fridays and Saturdays, with flexibility based on monastery needs, including special retreats and guest-related emergencies.
Occasional evening or weekend work may be required.
Compensation and Benefits
- Rate: $20.00/hour, hourly non-exempt (20 hours per week. Any overtime must be approved by your supervisor)
